About the Job
OverviewThis position supports the Senior Vice Presidents of
College and Campus Partnerships and Central Development and
Associate Vice President of College and Campus Programs. This
position manages overall administration and operation of the
departments and programs to support fundraising initiatives and
programs. Starting salary: $70,000- 80,000 based on
experience.ResponsibilitiesManagement of College and Campus
Partnerships and Central Development Administration and Operations
(60%)
Oversee daily operations of the SVPs
office and their respective departments. Prioritize and manage
activities and timelines to ensure alignment with department goals
and expectations.Prioritizes action items for the SVPs, including
responses to inquiries by Foundation and University leadership,
prospects and donors; and responds on behalf of SVPs as
appropriate. Partners with SVPs and internal communications team to
develop and manage communication strategies and plans on sensitive
and confidential matters.Ensures SVPs are informed of assigned
prospect/donor activities and proposals. Develops and implements
administrative processes and workflows to improve efficiency and to
align with department and University policy and procedures.Attends
relevant development meetings and coordinates projects as
assigned.Oversees the administration of the SVPs calendars, travel
schedule and expense reimbursement.Performs independent research
and prepares information for special projects preparing complex
documents, slides and spreadsheets.Communicate and engage with
Offices of President, Provost, and Deans to provide highly
responsive and accurate service on behalf of Foundation and
SVPsAnticipates the needs of SVPs, proactively provides draft
meeting agendas and reports.Provides discrete and confidential
handling of sensitive information.Communicate and collaborate
effectively with internal and external stakeholders on priority
initiatives. Handle other projects and responsibilities as
assigned. This position may require occasional work for evening or
weekend Development events and activities.Management of Budget and
Reporting (10%)
Prepares reports and maintains annual
budget for the SVPs. Analyzes activities and makes recommendations
regarding department budget matters.Represents department in the
annual budget planning process with UMF Finance/Accounting team,
and identifies budget opportunities and challenges.Ensures daily
and travel expenditures to the CCP and Central Development budget
for the SVPs and ensures adherence to UMF policies for the
department.Ensures expense receipts and submission of expenses are
made to the appropriate budgets.Create and produce financial
reports, activity reports, and other information for analysis of
department initiatives in collaboration with unit team
members.Manage and track information in DMS (donor management
system), including contact reports, donor information, and gift
details as well as assists Development leadership with updates on
donor contacts. Requests ad hoc queries and utilizes information
for production and analysis of giving and related reporting.
Support College and Campus Programs in Administration and Projects
(30%)
Prioritizes action items for the AVP,
including responses to inquiries by University leadership, select
prospects and donors; responds as appropriate. Manage the
implementation of the various training programs (currently,
Advancement Resources and Plus Delta) -- logistics of trainings
(room reservations, tech needs, catering, prep materials); assist
in extending invitations and recording participants, participant
correspondence, emails, prep work; interface with both
vendorsIdentify problems and opportunities for operational
improvements, gather information, and make recommendations, taking
past and current best practices into consideration. Manage the
process of calculating subsidy, keeping track of changes in
staffing and communicating subsidy Support administration of the
AIP program as requested. Anticipates the needs of AVP, proactively
schedule meetings, provide draft meeting agendas and provide
reports.Develop and implement planning and tracking processes for
CPP initiatives including the creation of a comprehensive
"centralized" program for all liaisons.Provide support for LDO, ADO
and AL/LDO meetings including agenda and deck prep, securing
speakers and related logisticsAssist with sourcing articles for the
DO newsletter Partner in new LDO and academic leader onboarding
planning and implementationEnsure all shared accountability
agreements are signed, recorded Support Undergraduate Education
Units as needed
Qualifications
Required Qualifications
Bachelor's degree and at least two
(2) years of professional administrative experience including
budgeting, operations and/or program management; OR a combination
of education and experience listed to equal at least six (6) years.
Ability to handle information that involves a high level of
confidentiality and discretion.Demonstrated knowledge of business
or administrative terminology and procedures.Excellent oral and
written communication skills.Demonstrated proficiency with MS
Office: Word, Excel, PowerPoint, Outlook, Access. .Excellent time
management skills; use of effective tracking methods to complete
work and projects in time requiredMaintain professionalism in a
fast-paced environment and flexibility to handle changing and
conflicting priorities.Excellent organizational and multitasking
skills, attention to detail and accuracyPreferred Qualifications
Bachelor's degree and at least two
(2) years of professional administrative experience including
budgeting, operations and/or program/project management.Experience
providing executive level administrative support.Experience working
in a complex, matrixed organization
