applicants to apply for the Front Desk Specialist position at our
Central Office in St. Paul, MN. The Front Desk Specialist greet
guests and visitors at CommonBond Central Office. Answer all
incoming calls and redirect to appropriate staff. Receive letters,
packages, etc., and distribute them. Prepare outgoing mail by
drafting correspondence, securing parcels, etc. **ESSENTIAL JOB
FUNCTIONS AND ASSOCIATED TASKS****Front Desk Reception - Customer
Service 70%** * Greet incoming visitors, current and potential
residents, job applicants, donors, vendors, and employees* Answer
general inquiries via phone or email, regarding CommonBond
properties and direct appropriately* Update the community
directories as appropriate, and mails or emails when requested by a
potential resident or a caseworker on behalf of a client* Develop
knowledge of our phone and voice mail systems using hold, speed
dial, conference calls, forwarding and transferring features and
trouble-shooting* Maintain a professional, clean, welcoming
appearance of front office and lobby* Trains administrative staff
on phones, front desk procedures/protocols, and property management
info and coordinates front desk coverage for breaks and time-away
from office**Administrative 20%*** Monitors and routes incoming
faxes to Central Office staff or properties* Sort incoming daily
USPS mail for distribution and alert departments for pick-up*
Monitor and manage the CBC Info and CBC Housing email boxes and
respond to inquiries and questions in a timely manner* Arrange for
courier services and enter in FedEx requests for shipments* Accept
packages and deliveries and direct to the appropriate recipient*
Update, maintain, and distribute our Central Office and Site
directories* Produce monthly postage usage reports for the
Accounting department* Administrative tasks as assigned including
data entry, proofreading, and editing**Supply & Vendor Management
10%*** Orders all office supplies* Process vendor invoices*
Organize supplies in the workroom* Coordinate with phone vendor to
update voicemail greetings and set up new users* Maintain and
manage all office equipment**Qualities most desired by the hiring
committee*** High School diploma or equivalent* Proficiency in MS
Word, Excel, Outlook* Minimum two years receptionist and
administrative experience* Ability to successfully manage multiple
projects* Demonstrated ability to successfully manage busy
multi-line telephone system* High-level of attention to detail and
ability to effectively proofread* Ability to maintain
confidentiality* Excellent interpersonal, organizational, and
communication skills* Demonstrated experience working within
diverse communities, which include people of various ages, gender,
sexual orientations, national origins, income levels, ability
levels, religious affiliations, races, and languages.* Effective
