This position is responsible for facilitating and maintaining
ongoing client support, answering general inquiries, handling
various client matters, researching, resolving client service
issues, and preparing required documents. You are a critical piece
to the client experience. You are also responsible for supporting
our advisory team. You are organized and able to work
independently, while thoroughly enjoy being part of a team. You
love organizing paper and projects and enjoy filling out forms
meticulously. You're a go-getter when it comes to follow through
and details rarely slip your grasp. You take immense pride in your
work. You have impeccable detail orientation abilities and an
unwavering ability to figure things out, even with little to no
direction. We are a small office; so we all help each other and act
as one team to care for our clients! Due to the nature of our
industry, this is a full time, in office position.This position
will support the office in in the following ways: Perform functions
for the office including maintaining paper and electronic files,
preparing recurring and ad hoc correspondence, running reports,
answering telephones, scheduling appointments, copying
materialsPrepare and ensure new business paperwork successfully
submitted which includes preparing forms, obtain appropriate
signatures, prepare documentation to upload to home office, track
new applications and coordinate rolloversCorrespond with clients to
complete new accounts, asset transfers, and other forms and resolve
client service challenges in accordance with stated service level
agreementHandle routine matters for client accounts to include
processing name and address changes, account applications, and bank
authorizations, answering client questions via telephone and face
to faceLook for, recommend and implement new client experience
strategies and processesContact home office and product sponsors to
resolve errors as neededEnsures confidentiality and controls access
to sensitive informationResponds to inquiries and requests for
information requiring knowledge of departmental and company
policies and proceduresPerforms administrative duties associated
with scheduling and coordinating meetings and planning
eventsArranges with vendors for services, prepares agendas, gathers
and organizes supporting information, and oversees production and
distribution of related materialsAssist with other duties and
partner-approved projects, research requests and operation
follow-up items as assignedThe company reserves the right to add or
change duties at any time The ideal candidate: Associate's degree
or higher or equivalent related experience preferred2+ years of
experience in a financial services environmentHighly organized,
with an absolute attention to detailExcellent follow-through and
communication regarding status of open itemsClient-first attitude:
ability to interact with clients professionally and respond to
clients in a timely mannerEditing and writing skills to initiate,
compose, format, proofread and carefully edit various professional
business documents and correspondenceStrong time management skills;
Ability to prioritize and coordinate multiple work assignments and
deadlines efficiently despite frequent interruptionsExcellent
interpersonal and communication skills; ability to communicate in a
pleasant, tactful and effective manner (both orally and in
writing), and to handle difficult, sensitive issuesBasic computer
skills and experience in using Microsoft Office suite, email,
internet, databases, and other standard office desktop applications
including client relationship managementAbility to analyze
situations, define problems and/or objectives, identify relevant
factors, formulate logical conclusions and suggest alternative
solutionsMust be willing and able to complete a background and
credit screening as an employee of a FINRA-regulated advisor; Final
job offer is dependent on successful completion and approval by the
broker/dealer firmLife and Health Insurance license; if not
licensed, will be required to obtain within 90 daysSeries 6, 7
and/or 63 would be preferred but not required
