Position Summary:
This Office Services Representative position will be responsible
for a wide range of functions at a client site. - This can include,
but is not limited to, typical office functions such as copy/print
work, mail, scanning, hospitality and reception. - The Office
Services Representative is tasked with meeting the client
requirements as spelled out in the contract with Loffler Management
Solutions. Specifically, this position will require a high degree
of skills with IT PrintCare, uniFLOW support, high end/high-quality
production color printing, above average Finishing skills, and a
non-stop positive "can do" / "what else can I do to help" upbeat
attitude.
Essential Duties and Responsibilities:
All areas of responsibility listed below are essential to the
satisfactory performance of this position, with reasonable

High Level of Proficiency / Expertise in the following:
IT PrintCare
Proactive monitoring via software tools on uptime, jams, toner
levels, etc.
Routine rounds to bring paper to copier and printer locations, add
paper as necessary, clean glass, test device performance, and tidy
workspace.
Help with any installs or moves of print technology.
Change toners and clear jams when required proactively or as a
response.
Load / re-load print drivers.
Train and support end users on operation for scan, print, copy, fax
as well as uniFLOW.
Mechanical aptitude to diagnose some minor break fix issues and
resolve with minor mechanical application applied.
Place and manage service calls for break fix as well as technical
support calls internal and external.
High Quality Color Printing and Bindery Skills
Able to productively produce high quality color applications such
as full bleed direct mail pieces with variable data.
High quality poster printing and mounting.
Expertise in working with web based job submission tool LDT (now
ions).
Operate in quality manner cutter, creaser, slitter, drill, punch
and bind and more.
Fulfillment
Pack and ready materials for shipment and distribution.
Use client/Loffler designated control systems to ensure accuracy of
job and inventory accuracy.
Mail Services
Receive, sort & deliver mail to client specifications.
Prepare outgoing mail using client site mailing equipment.
Be aware of and follow all US postal regulations.
Copying/Printing
Produce, finish, and deliver finished product based on end user
request.
Use Loffler provided and/or customer provided software to schedule
and bill print/copy jobs.
Understand and assist as needed in file editing and consulting in
preparation for print.
Scanning
Scan originals into client designated locations.
Properly process original document to client specifications.
Maintain high levels of output and accuracy.
Reception
Answer phones; greet clients and visitor and other duties as
assigned.
Hospitality
Conference and event set up. Clean, stock and prep client meeting
areas.
Courier
Delivery within and outside of client locations.
Shipping & Receiving
Use shipping systems (UPS, FedEx, etc.) and client systems to
receive and ship client items.
Legal Services
Have a working knowledge of typical Legal Office procedures.
Have a working knowledge of Legal Vernacular.
Other related duties as assigned.
Qualifications/Requirements:
Ability to work with minimal to no supervision.
Works well under pressure and achieve deadlines.
Ability to work with detailed information accurately.
Ability to communicate very effectively written and orally.
Above average proficiency with Microsoft Word, Excel, PowerPoint
and Outlook and software.
Knowledge of and comfort in base use of or ability to learn Adobe
Creative Suite such as InDesign and Photoshop.
Valid Driver's license and clean driving record may be
required.
Communications Skills - Written and Oral, Interpersonal, Customer
Interface, Professionalism, Maturity.
Leadership - Motivated, Good Judgment, Decisiveness.
Organization & Planning - Organized, Administrative Skills,
Flexibility.
Education/Experience :
Minimum High School Diploma or equivalent.
Prior customer service experience required.
1+ years of industry experience in similar field or job duties.
Supervisory Responsibilities:
May be called upon to train and develop skill sets to step into a
supervisor or lead role.
