Client Project Coordinator

Job Summary: Talent Software Services is in search of a Client Project Coordinator -for a contract position in Eagan, MN. Opportunity will be three months with a strong chance for a long-term extension.

Position Summary: - The Client Project Coordinator is responsible for leading the development of customer websites by coordinating all project phases between the client, internal resources, sales & support staff. This includes resource management, schedule attainment and effective customer communication. This position is part of a team and reports into a Team Lead.

Primary Responsibilities/Accountabilities:
Production: Work with the client to create a project plan containing objectives, timeline, priorities, and risks. Assign work to internal functions from this plan. Maintain this plan daily and proactively communicate with clients and internal team members to do so
Adapt work and communication style to diverse client groups, both internal and external. Constantly elevate the importance of the project schedule. Communicate in terms of client's objectives; and meet project objectives.
Responsible for the on time delivery of all projects. Continually probe for bottlenecks and other potential problems; use influence, resourcefulness and initiative to minimize their effect on the project plan. Make decisions on priority tradeoffs within and between projects, as needed. Address and resolve project conflicts.
Provide proactive communication status updates to the client and other key stakeholders as needed, primarily by telephone or e-mail. Communication in a focused, businesslike manner, and within context. Manage expectations up, down and laterally.
With each project, provide guidance on team decision-making and problem solving. Provide feedback and daily project direction. Work to establish cohesion on your teams, and between Project Managers.
Work closely with the Account Managers to ensure the client's experience during the term of the project bolsters our overall long-term relationship.
Responsible for project documentation and maintaining client correspondence. Provide timely updates on all client information.
Based on metrics established, responsible for overall quality of project. Influence others in project team to provide high level of quality and efficiency, keeping projects on time and delivering a high level of client satisfaction.
Conduct phone interviews with clients to obtain and communication information necessary for copywriters to draft accurate, unique and compelling Web marketing copy consistent with the client's desired practice area, geographic and marketing focus.
Client onsite visits up to once per month (2-3 day durations).
Plan, develop, manage and implement project plan to meet business needs and make decisions to carry out the plan.
Interpret organizational and business goals, policies and practices; develop and implement project scope, goals, objectives, policies and priorities; Facilitate and manage the integration and coordination of systems, processes, staff and resources; Provide direction, leadership and act as an information and support source for project team members.
Define, document, and execute projects of lower risk, complexity and visibility, and actively participate in all phases of the project
Manage one or more projects of small to medium size and complexity; Oversee project activities in compliance with program priorities and the utilization of resources in order to carry out the goals and objectives.
Monitor project status to ensure progress toward completion; modifies project plan as necessary in response to unforeseen or unexpected development and informs management; Coordinates changes with team members;
Define and document process; Produce all project documentation - detailed project plans, work plans, schedules, project estimates, conversion schedules, resource plans and status reports
Deliver projects within the constraints of scope, time and cost to agreed levels of quality.
Proactively identify and manage project risks and issues and take steps to mitigate or avoid.
Recommend solutions to any issues that change the scope of the project or negatively impact its delivery or cost. (I.e., proactively manage project scope and change process.)
Actively participate in all phases of the project or specific phases of larger projects.
Effectively manage project team conflicts and stakeholder relationships.
Prepare project budget and make recommendations to management; Monitors costs, timescales and resources used, and takes action where these deviate from agreed tolerances or recommend solutions to senior management as appropriate.
Consult with appropriate staff to resolve issues; Identify and minimize risks; develop contingency plans and identify opportunities to ensure projects are completed successfully.
Ensure compliance with all applicable standards and policies.
Represent project team in meetings and work sessions regarding project status including facilitating and working effectively to develop consensus within divergent groups or divergent viewpoints; provide status and progress reports; assist in clarifying expected outcomes and managing expectations.

Qualifications: 4 Year College degree preferred (Business, Marketing, Communication or other liberal arts programs) but not required.
1-2 years Project Management experience (non-technical)
Understanding of Web design/development concepts & processes
Understanding of Internet and law firm marketing concepts
BS/BA required. MBA desired.
Minimum of 1-3 years of Project Management/Planning experience. (3+ years preferred)
PMP certification desired.
(Manager can select additional qualifications/requirements as desired):
1-3 years of technical project management experience
Must have good analytical problem solving skills
Proactive personality and proven leadership skills
Strong working knowledge of Microsoft Office
Understanding of the Software Development Life Cycle(s)
Above average organization, interpersonal, & communication skills
Demonstrated ability to multi-task
Experience interacting with internal & external stakeholders
Excellent verbal and written communication skills
Ability to work as a team member
Experience building successful client relationships or internal team relationships
Ability to design programs and tasks
Ability to proactively identify and recommend program improvements
Outstanding attention to detail combined with the ability to see the big picture.
Experience managing geographically diverse teams.

Ability to multi-task and have a keen attention to detail
Strong communication skills, written and verbal
Leadership qualities including self-motivation, resilience, positive attitude, and a team player
