About the Job:
This Hematology, Oncology and Transplantation Division (HOT)
Division Administrator is an accomplished leader who reports
jointly to the HOT Division Director and the Department of Medicine
Vice Chair of Administration. This leader engages with multiple
partners and stakeholders across a spectrum of divisions,
departments, colleges and clinical organizations. The HOT Division
Administrator is a key member of the Division leadership team,
providing strategic and operational guidance for clinical affairs,
education, research, faculty development, diversity, equity and
inclusion and employee wellbeing. In addition, this position
partners with the Department of Medicine operations leadership team
to develop and execute financial, human resources, faculty affairs,
education and research strategies. This position closely clinical
partners to execute on patient care strategies. Finally, this
position oversees a team of administrative professionals who
execute daily operations within the division
The HOT Division is one of eleven divisions within the Department
of Medicine - the largest department within the University of
Minnesota Medical School. The HOT Division Administrators partners
with division administrators from the other 10 Divisions and other
Medical School departments to optimize, standardize and modernize
operations. The HOT Division includes 45 faculty, 36 administrative
and research staff and 13 fellows. In addition, this division has a
strong and growing M Physicians Community Physician group, with 15
physicians practicing across the Twin Cities and greater
Minnesota.
Job Duties:
Support Faculty Achievement Across the Tripartite Mission (30%)
* Partner with Division Director and other faculty leaders to
develop and implement strategic initiatives in alignment with the
Department of Medicine, M Physicians and clinical partners.
* Understand and support implementing strategic growth plans of the
Division.
* Collaborate with HR, Finance and the Department's Office of
Faculty Affairs & Development to ensure efficient administrative
support for faculty hiring requests, searches, hiring, onboarding,
mentoring, promotions and tenure.
* Ensure excellent communication within the division, with the
department and with other key constituencies. Plan effective
meetings in partnership with division leaders, communicate
policies, adeptly respond to and triage various complex
inquiries.
Division Administration (50%)
* Provide inputs into financial budgets, monitor budgets and
forecasts in partnership with Department's finance team. Advise
division director and other leaders on strategies to achieve a
financially sustainable division, including collaborating with
faculty leaders to reduce unfunded efforts and increasing external
funding.
* Implement the departmental compensation model with a strong
understanding of funds flow necessary to support compensation.
* Develop and lead an administrative staffing plan that supports
the division's administrative needs and supports a culture of
excellence. Infuse technology into operations and workflows.
* Lead process improvement initiatives to ensure effective and
efficient administrative support, both specific to the division, as
well as those that benefit the Department and Medical School.
* Oversee facility needs and technology needs of the division,
including management of research and office space.
* Collaborate with research administration to oversee grant
awards.
Clinical Management (20%)
* Partner with the Division Director and clinical leadership,
business development, M Physicians clinical operations teams, and
medical directors to achieve organizational goals and align
priorities.
* Strengthen and grow partnerships with contracted clinical sites.
Monitor contract activity and support development of new contracts
and business development opportunities.
* Collaborate with M Physicians scheduling team to optimize the
physician scheduling processes. Ensure clinical commitments are
aligned to work schedules and assignments for faculty physicians
and community physicians
* Monitor clinical productivity and collaborate with clinical
leadership to address barriers to physician productivity and
wellbeing.
* Utilize knowledge about practice management standards and
policies of M Physicians and clinical leadership to incorporate
into divisional operations.
Qualifications
HOT Division Administrator (Admin Mgr. 2 - 9341M2)
Required Qualifications:
* Minimum of 8 years of relevant experience including management
and budgetary responsibility.
* Strong service orientation, financial acumen, communication
skills, , judgment and the ability to work collaboratively with
faculty, staff and students.
* Strong organizational skills and ability to multi-task and
prioritize complex short and long-term activities.
* Demonstrated ability to develop professionally and assume
increasing levels of responsibility.
* Bachelor's degree.
Preferred Qualifications:
* Master's degree in Business, Finance, Healthcare Administration
or related field.
* Knowledge of the administrative requirements associated with
sponsored research, physician practice management, and graduate
medical education.
* Management experience in a health care setting
