This position will participate in the administration of both the
division of Pediatric Cardiology as well as several Department-wide
initiatives. Responsibilities for the Department-wide initiatives
include process improvement and creation of resources to support
the onboarding process as well as other Department-wide needs. This
position will be almost entirely on site. The idea candidate will
be eager to learn, motivated, passionate about process improvement,
and a self-starter.
Responsibilities:
50% - Cardiology Division Administration
* Planning, implementing and managing general operations of the
Division of Pediatric Cardiology including budget, human resources,
procurement, communications, compliance, outreach, student affairs
and faculty affairs.
* Manage the coordination of the extremely busy and complicated
Pediatric Cardiology clinical practice including planning,
staffing, interaction with clinic managers and procedure/transplant
schedulers and interdisciplinary partners within the Medical
School.
* Work with administrators from the divisions, department, Medical
School and other areas of the University, UMP and Fairview to help
coordinate faculty recruitment visits.
* Participate in processes to manage and report on clinical and
research responsibilities of Pediatric Cardiology faculty.
* Field inquiries from potential patients, providers from other
institutions, and philanthropic donors
* Administrative contact responsible for facilities management of
division office space, compliance with institutional safety,
privacy and security policies.
* Reviews and processes financial transactions and oversees
financial reporting, ensuring that information is communicated to
the administration team
* Assist with ad hoc needs of the division such as supply order and
submitting work requests.
50% - Onboarding Specialist
* For assigned divisions, serve as the primary contact for
individuals being onboarded
* Manage the overall onboarding process for the Department, acting
as the expert in this area
* Navigate clinical system setup and access issues after faculty
have been hired; the individual will know the system and who to
contact to help resolve issues
* Create and implement processes to help streamline onboarding for
all divisions within Pediatrics
* Perform ongoing review and continuous improvement/maintenance of
onboarding process; share process updates with the Department
* Connect with all new faculty to collect feedback on onboarding
process after their first 30 days, synthesize into process
improvement recommendations
* Work with Department leadership to establish guidelines/tracking
sheets to ensure first 100 days training is completed in a timely
manner**This position will be entirely on site**
Qualifications
All required qualifications must be documented on application
materialsRequired Qualifications:* BA/BS with at least 2 years of
experience or a combination of related education and work
experience to equal six years
Preferred Qualifications:* Demonstrated experience working with
sensitive and/or confidential information and documents
* Excellent organizational skills
* Ability to prioritize tasks and be responsive in a timely
fashion
* Take initiative and problem-solve both individually and in a team
environment
* Excellent written and verbal communication and ability to
interact effectively with physicians and other health care
workers
* Experience working in an academic institution, proficiency with
computer systems and software, electronic calendars, and ability to
assimilate new systems quickly.
* Clinical experience helpful but not necessary
